You will be required to manage and co-ordinate all front of house activity, welcoming employees and

visitors alike and ensuring the facilities are suitable and set up accordingly.

Working as part of the facilities and compliance team, you will be involved in multiple of support functions and provide support to IT, quality, travel, fleet and events where required as well as other adhoc administrative and supporting functions.

The role will involve working with all teams across the business and will require an active willingness to help people where possible, working to budgets, processes and company guidelines and ensuring confidentiality is maintained at all times.

**Reception**

Provide a warm welcome to all employees and visitors ensuring everyone is signed in (and out) and issued with a badge (where required)
Manage incoming and outgoing post, including parcels. Complete all associated paperwork on booking in system (in line with new Brexit rules and training others accordingly)
- Answering incoming calls and transferring calls to staff members, taking detailed messages where required, acting as gatekeeper to senior staff. Comfortable using a switchboard system.
- Responsible for making sure the current internal and external telephone/address list is up to date, adding new starters/leavers
- Order refreshments, stationery and other adhoc items
- Support the EV charging point process
- Help testing the fire alarm, keeping first aid kits stocked up and monitoring the security book.
- Maintain and take ownership of reception area, kitchens and meetings rooms - keeping them presentable for our customers and a workable space for all.
- Send out all spare’s orders, highlighting to Customer Support when stocks are low
- Enter all extended warranty customer details into CRM (B2C)

**Meetings, Visitors and events**
- Booking and setting out meeting rooms at Warwick for employees and visitors, arranging and setting out lunches where required.
- Ensure that all relevant housekeeping information is communicated
- Manage parking requirements where needed
- Book taxi’s and dinner reservations where required

**Complete any other administrative tasks that are required within the role**
- Provide administrative support for customer events at Warwick
- Managing PO’s and invoices in relation to the role

Work closely with the Senior Administrator, Facilities Administrator and local IT Engineer to support the day to day running of the business.
