Based in Plymouth, our company has been established for 17 years and offers highly innovative design and construction solutions to our commercial and residential clients, both regionally and nationally.

As one of our Office Administrators you are the first point of contact for the Head Office, both in person and on the telephone. Office duties are to be executed to a high standard to ensure the smooth running of the establishment. You will be self-motivated, flexible and able to work on your own initiative as well as work as part of a team.

Key Responsibilities:

- Front of House - Reception duties, including answering the telephone and directing telephone calls to the relevant personnel, welcoming all visitors, and informing relevant personnel of their arrival.
- Manage and maintain Outlook folders, direct to the relevant person, file, and colour code for actioning.
- Post and deliveries - sign for any deliveries and take to relevant person. Distribute post accordingly.
- Reconcile delivery notes and invoices, allocate to appropriate Project Co-Ordinator.
- Ensure that all office areas and facilities are always clean and tidy, including ensuring all kitchen and bathroom consumables are well-stocked.
- Ensure all office stock and stationery is replenished as and when required, including printing and photocopier facilities, collating, and placing stationary orders.
- Assist Accounts team and Project Co-Ordinators when required. General Filing.
- Update company database with goods received.
- Organisation of company events and arrangements for birthdays.
- Update social media platforms, Facebook, Instagram and LinkedIn.
- Maintain telephone system, including updating internal and external telephone lists.
- Take responsibility for ensuring the server is backed up daily.
- Issuing and logging Personal Protection Equipment distribution.
- Issuing and logging IT equipment.
- Monitoring Company Vehicles checks.
- Compiling Site Boxes with relevant site documents.
- Liaise with Store Manager and order necessary stock and consumable items.
- Fire alarm test and drill.

Hours:

- 8am - 5pm

Skills & Qualifications:

- Grade A-C GCSE or equivalent in Maths and English.
- Previous administration experience advantageous.
- Proficient in Microsoft Office.
- Effectively work to deadline and prioritise work efficiently.
- Ability to communicate effectively.
- Good Organisational skills

**Job Types**: Full-time, Permanent

**Salary**: £20,000.00-£25,000.00 per year
