We are now looking for an Executive Assistant and Operations Coordinator to join our global team, working with our Product and Marketing functions.

**About the Role**

The Executive Assistant and Operations Coordinator will support multiple executives, ensuring smooth administrative operations in the UK and the US. Key responsibilities include diary management, handling expenses, and various administrative duties to enhance executive productivity.

Additionally, this role involves team coordination and process management within the Marketing team. The Executive Assistant will introduce, maintain, and standardise processes to improve efficiency, alignment, and communication. Tasks include compiling marketing project communications, managing meeting minutes, and overseeing schedules.

The Executive Assistant is pivotal in facilitating executive and Marketing team efforts, striving for operational excellence.

We value in-person collaboration here at Matillion, therefore this role follows our hybrid work structure where employees work 2 days a week in the Manchester office. Our core day is Wednesday, and the second day will be determined together. The rest of the week you are welcome to work from the office, or remotely if you’d prefer.

**What you will be doing**:

- You’ll provide general support to the execs, including diary management, travel booking, expense management, coordinating department events and presentation preparation.
- Fostering effective communication and collaboration among various teams, you’ll also be developing and implementing strategies to optimise processes within the team and enhance efficiency.
- This role has a project management element, therefore you'll be supporting resource allocation to optimise productivity and ensure timely project delivery.
- Working across the Product and Marketing teams, you will oversee the event calendar, plan and coordinate team events, and facilitate meetings to ensure alignment and timely action completion.

**What we're looking for**:

- Demonstrated experience providing administrative support to executives, including managing calendars and travel bookings, and expense handling (ideally using Google workspace)
- Previous involvement in coordinating events, with proven ability to manage multiple tasks and projects simultaneously.
- Proficiency in project management, with experience optimising processes and streamlining operations (ideally utilising tools such as Asana)
- Strong communicator with an ability to foster collaboration among a cross functional, global team and influence senior leadership.
- Knowledgeable in meeting management, including recording and distributing meetings, whilst always acting in a discreet manner.
- Background working across different timezones for a global company, with a strong attention to detail and excellent organisational skills.

At Matillion, we are committed to providing competitive salaries in line with market standards. Our estimated compensation range for this position is £37,200 - £55,800, but the final salary will be based on your relevant skills, experience and qualifications demonstrated in the hiring process.
