Position Overview

The Executive Assistant and Office Coordinator will play a crucial role in providing comprehensive support to the business founders, including managing schedules, arranging travel, and handling various ad hoc tasks.

This position will also assist the Facilities Manager to ensure the office operates smoothly on a daily basis. A positive and welcoming demeanor is essential, as this role serves as the primary point of contact for employees, visitors, and guests.

Key Responsibilities

Personal Assistant Duties

  • Managing and responding to communications for the founders, including phone calls and emails.
  • Coordinating appointments and organizing calendar entries.
  • Setting reminders for meetings, appointments, and other significant tasks.
  • Arranging travel and accommodation logistics.
  • Planning and organizing conferences, workshops, seminars, and other events.
  • Taking minutes during meetings and distributing them to all attendees.
  • Collaborating with team members and external stakeholders, including clients and media.
  • Addressing ad hoc requests as needed.

Office Management Duties

  • Overseeing the front reception area, welcoming clients and guests.
  • Managing company correspondence, including calls, emails, letters, and packages.
  • Assisting the Facilities Manager with daily administrative tasks.
  • Ordering and managing office supplies.
  • Responding to and supporting employee inquiries.
  • Coordinating client lunches and meetings.
  • Maintaining inventory of office supplies.
  • Ensuring the office environment is organized and presentable.
  • Managing mail and parcel deliveries.

Required Skills and Attributes

  • Proven experience as a Personal Assistant.
  • Experience in front-of-house office roles is preferred.
  • Exceptional organizational skills.
  • Strong verbal and written communication abilities.
  • Ability to manage multiple priorities effectively.
  • Proactive approach with excellent problem-solving skills.
  • Self-motivated, capable of working both independently and as part of a team.
  • Flexible and eager to learn.
  • Proficient in Microsoft Office applications, including Outlook and Excel.
  • Demonstrates a passion for the brand.
