**Job summary**:
The UK Security Vetting (UKSV) Private Office team provides high quality secretarial, administrative and business management support to the UKSV Executive Leadership Team (ELT). The team supports ELT members - helping them prioritise, focus on what is needed most to maximise their time. They also support the business areas: making sure they know and understand ELT priorities, acting as a conduit for raising issues, coordinating activity within teams and ensuring good communication between business units through the Private Office network.

This is a fast paced and dynamic role providing the opportunity to work closely with the UKSV ELT Team in a vibrant and high profile environment. As an Executive Assistant, your primary responsibility will be to provide a variety of secretarial and administrative support, managing diaries, correspondence and acting as a key link between internal and external stakeholders. The post holder will be part of a collaborative team and you will be expected to flex workloads to support colleagues and provide continuous service across the team, working to support the Transformation Director and/or Deputy Directors as business needs demand.

**Job description**:
As Executive Assistant your key duties will include
- Manage the inbox and diaries for the Deputy Directors/ Director with good judgement, prioritisation and professionalism. Ensuring time is effectively managed to tackle the most important issues.
- Maintain oversight of the Deputy Directors’/Director’s priorities and reflect these in the arrangement of meetings.
- Use judgement and initiative to proactively signpost issues and tasks arising from the inbox, ensuring deadlines are met.
- Appropriately share information and tasks from the inbox with teams to maximise efficiency and the Deputy Directors’/Director’s time, ensuring matters are managed in their absence.
- Forge effective networks and relationships across government, with external stakeholders and private offices.
- Commission actions and outputs on behalf of the Deputy Directors/Director with internal and external stakeholders.
- Ensure a record is kept of correspondence and documents in line with Cabinet Office Information Management principles.
- Make travel arrangements and accommodation bookings ensuring value for money.

**Person specification**:
As an Executive Assistant within UK Security Vetting, we are looking for people who have the following expertise and attributes:
**Essential**
- Excellent organisation and communication skills.
- Ability to manage a challenging workload and prioritise effectively.
- Able to work comfortably under pressure.
- A strong team ethic with effective relationship management skills.

**Desirable**
- Demonstrable experience of providing a broad range of administrative tasks in a fast paced environment and to deadlines.
- Private Office experience.

**Additional information**:
A minimum 60% of your working time should be spent at your principal workplace. Although requirements to attend other locations for official business will also count towards this level of attendance.
