**Job Title**: Executive Assistant

**Location**: Manchester/ St Helens

Hours: Monday to Thursday between 8am and 4.30pm & Friday from 8am to 1.30pm

**Salary**: £28,000 - £40,000 per annum

**What are we looking for?**

Supporting both the CEO and CTO, this role will manage all aspects of both parties’ day to day needs. Based out of our head office in St Helens, the EA will provide full-time, highly organised, caring, and proactive operational and administrative support. The Executive Assistant will work on a one-to-one basis on a variety of tasks related to both the CEO’s and CTO’s personal and working life. Regular travel off-site will be required at times both nationally and internationally to support both parties. Confidentiality is paramount and essential.

**What will you be doing?**
- Extensive and proactive diary management
- Work with the Marketing manager and marketing team to establish public speaking opportunities for the CEO and CTO.
- Confirm all business plans and travel and work through supporting trips with itinerary (hotels, day care centres, hotel amenities, car rental, etc).
- Transcribing and dictation duties at board level meetings
- Company travel when required both national and international.
- Act as gatekeep to the CEO and CTO for including internal and external stakeholder requests and correspondence.
- Build strong relationships with CEO and CTO, as well as the exec level management and senior management team.
- Organise internal and external meetings including all ancillary arrangements.
- Organise and support events and hospitality, to include managing invitations and RSVP’s, arranging restaurants/ venues and any necessary equipment, supporting the preparation of each event.
- Attend and contribute to team meetings, including regular debriefs with CEO.
- Draft, create, amend and format high quality correspondence, engagement letters, documents, agendas, reports. Presentations, diagrams and spreadsheets on behalf and with support of the CEO and CTO.
- Financial management, to include drafting bills and bill narratives, liaising with the finance team, ensuring all time is closed down and up to date, obtaining PO numbers where appropriate and monitoring any work in progress
- Proactively maintain and update contact information within Outlook
- Build strong relationships with business services teams and maintain effective and efficient use of business support services.
- General administrative support, e.g. bundling, indexing, time recording, copying, printing and scanning.
- Grow and maintain a sound understand of the business and industry we work in

Undertake any additional ad-hoc duties to support the business.

**What we want from you**
- Driving Licence is preffered
- Previous experience in an Executive or Personal Assistant role at director level.
- A high level of professionalism and integrity.
- Former experience with diary/ events management and business travel arrangements.
- Advanced knowledge of Microsoft Office Suite, in particular; Excel, Word, PowerPoint and Outlook.
- Excellent skills and proven track record of administration and prioritising
- Excellent attention to detail and use of grammar.
- Strong interpersonal and communication skills and be able to communicate at all levels.
- The ability to build strong relationships with internal and external clients.
- Commercial and Financial acumen and a solution focussed attitude.
- Accuracy and pride in work
- Collaborative attitude and to be supportive of the business and its initiatives.
- Have a willingness to travel both nationally and internationally when required.
