About the Facilities Department and Your Role

The Facilities team is responsible for maintaining all THG sites, ensuring that all colleagues and visitors are in a clean, safe environment while on site.

The FM Coordinator is the key Central HUB to the THG Facilities Team for all information/service requests and will act as a key support for all of the Management within the Central Facilities Team. The FM Coordinator will act as the "Facilities Helpdesk" recording, coordinating and reporting on all service requests to our THG Facilities Management Team via our internal reporting system Service Desk. The FM Coordinator will produce KPI reports by collating all data sources and producing on a weekly basis valued performance statistics.

You will be required to work under the direction of THG Facilities HUB Manager and navigate through layers of communication to ensure we capture all service requests and record all information in an efficient manner so that we as a team can deliver essential services to the business.

Responsibilities (clearly linked to KPIs):

- Maintaining the integrity for schedules of maintenance used by the team
- Managing, reporting and updating our Service Desk Ticket System
- Managing the DL-Facilities inbox to ensure full circle communication
- Keeping Service Level Agreements up to date for all sites
- Producing regular valuable KPI reports via the collation of the FMs individually managed reports
- Producing weekly reports utilizing our in house Service Desk system
- Processing facilities purchase orders up to agreed limits
- Procurement and purchasing for reactive urgent requests
- Approving facilities invoices
- Supporting all FM Managers by recording and capturing key information for reporting purposes
- Maintaining a database which ensures that all utilities usage, maintenance, checks and repairs are accurately recorded.
- Approving Invoices and manage suppliers for Utilities and other service providers including Electricity, Gas, Water, Business Rates, Leased Building Service Plans, Cleaning Contracts, Waste etc.
- Processing of Third Party Invoices
- Maintaining records of Approved Invoices, Maintaining records of Approved Purchase Orders and Receipts
- Submitting any changes of terms required and manage setting up of new sites and exit from existing sites for facilities related services such as Utilities and Service Contracts
- Managing Data and Physical Storage, Shredding of confidential waste & Archiving services
- Setting up new suppliers and contractors with Finance
- Escalating problems to the Facilities Management Team
- Supporting additional requests from Group Head of F
