About the Role

We are thrilled to offer an exciting opportunity to join our vibrant team as an Office and Hospitality Coordinator. This key role ensures the smooth and efficient operation of our London office and assists our Leeds office, enhancing company procedures and day-to-day operations. You will support our team, partners, and visitors while handling various ad hoc projects.

We are looking for someone eager to grow with our business and tackle the opportunities and challenges that come with it. This position is available immediately, starting with a 6-month probation period.

Job Purpose, Responsibilities and Duties

Hospitality

· First point of contact for greeting and assisting visitors, both on the phone and in person, dealing with clients, suppliers and internal enquiries and correspondence using tact and diplomacy as well as preserving confidentiality

· Maintain a high standard of presentation and cleanliness in all showrooms and the whole office.

· Coordinate meeting room reservations and set up meeting spaces as required, as well as arrange catering services and refreshments as needed.

· Support both commercial and home sales teams to run their showrooms, providing a positive and professional experience.

· Ensure common areas, including the kitchen and break rooms, are well-stocked and maintained, especially with coffee supplies, healthy snacks and fresh fruit.

· H&S compliance and supporting well-being in the workplace.

· Assist with the setup and maintenance of workstations for all employees.

· Support in arranging team-building activities, and company celebrations.

· Assist with travel arrangements and accommodations for employees and partners as required.

Office Management

· Maintain an Organised Office, clean and efficient, manage supplies, and coordinate maintenance and repairs.

· Provide support to various departments, manage mail, and implement office procedures.

· Develop and maintain strategic relationships with key partners to meet company objectives.

· Ensure office protocols are followed at all time.

· Innovate: Present new ideas to improve office operations.

· Handle incoming and outgoing mail and packages.

· Maintain H&S files and records with effective filing system.

· Contribute to general and ad-hoc administrative duties.

· Communicate weekly about offices events on calendars.

· Anticipate and troubleshoot issues on the procurement.

About you

We seek an energetic, organized, and proactive individual with a passion for hospitality and exceptional organisational skills. The ideal candidate will have:

· Experience: At least 2 years in a similar role.

· Skills: Strong communication, time management, and project management skills.

· Tech-Savvy: Proficiency in Microsoft Office Suite and hands on experience with office equipment.

· Personality: A positive attitude to provide outstanding service, self-motivated, can-do approach, and the ability to build trusting relationships.

· Location: Based in London with a willingness to travel to Leeds as needed.

· S pecialty coffee knowledge desirable but not essential.
