We have a fantastic opportunity for an Admin Co-ordinator to join the firm and our market leading FutureLaw team.

The successful candidate will support and work alongside our FutureLaw team in delivering projects for the firm and our clients.  The role will provide support to our Senior Operations Manager, Head of FutureLaw and Managed Legal Service team while also supporting the rest of the FutureLaw team. In this role you can expect to be involved in a wide range of administrative and business analysis tasks to support the wider TLT FutureLaw team and is ideal for someone looking to start their career in business analysis within a dynamic and forward-thinking law firm.

Your Role

As a FutureLaw Admin Co-ordinator your day-to-day remit includes:

  • Creating and amending documents, particularly in PowerPoint, Word and Visio to include creating and managing templates where required;
  • Creating and amending Excel spreadsheets to include inputting formula and undertaking Mail Merge;
  • Managing and booking hotel and travel arrangements for the team;
  • Working alongside the Senior Operations Manager on process mapping improvements as part of our Centre of Excellence hub;
  • Undertaking invoicing for the team to include creating WIP reports, budget preparation for the Legal Project Management team, raising bills, processing and sending out invoices once approved;
  • Ensuring that all supplier invoices are recorded, coded, approved and passed for payment in a timely and accurate manner, processing payment for supplier invoices to include following our internal money laundering checks and working with the team and Finance to assist with any problems or queries in relation to suppliers, contracts, orders, invoices, credit notes and payments;
  • Assist in the planning and facilitation of workshops with internal teams and clients, ensuring effective communication and collaboration;
  • Document process maps and workflows to capture current and future state processes, using tools such as Microsoft Visio or Miro or similar;
  • Gather and analyse requirements from stakeholders through interviews, surveys, and observation to ensure project objectives are clearly defined and met;
  • Assisting the team with financial management e.g. client balances, aged debt, balances on the ledger;
  • Managing the expenses process for the team;
  • Assisting FutureLaw leadership team with onboarding new joiners and offboarding leavers to include helping new joiners settle into the team;
  • Setting up new matters, assisting the team with closing completed matters;
  • Assisting our FutureLaw team with running external events and webinars;
  • Assisting the FutureLaw team with running transformation and design thinking workshops to include managing room bookings and attendees;
  • Provide administrative support to the FutureLaw team, including scheduling meetings, preparing agendas, and coordinating logistics for workshops and training sessions;

Your Skills and Experience
  • Excellent communication skills (both oral and written)
  • Excellent attention to detail and good organisational skills with the ability to be flexible in managing tasks and workload on a daily basis;
  • Good knowledge of Teams, Word and Outlook is required.  Good knowledge of Visio and finance systems is preferred.
  • Advanced knowledge of PowerPoint and Excel is preferred to include ability to use complex functionality and formulas .
  • Training in TLT house style and current TLT utilised legal technology will be given as appropriate.
  • Demonstrate high levels of data accuracy, time management skills and organisational capability.
  • Ability to work using own initiative and as a team member, maintaining a professional positive attitude at all times is essential;
  • Ability to assimilate information quickly and a keen interest in developing your knowledge of TLT, the legal sector and the clients that we support
  • Ability to interact well with senior stakeholders, fee earners and support staff at all levels and with external contacts and clients.
  • Interest in and a willingness to try new tools and embrace new technology.
