This position will provide essential support to our Senior Operations Manager, Head of FutureLaw, and the Managed Legal Service team, while also assisting the broader FutureLaw team. Your ResponsibilitiesAs a FutureLaw Administrative Coordinator, your daily tasks will include:
- Drafting and modifying documents, particularly using PowerPoint, Word, and Visio, including the creation and management of templates as necessary;
- Developing and updating Excel spreadsheets, incorporating formulas and executing Mail Merge;
- Coordinating travel and accommodation arrangements for the team;
- Collaborating with the Senior Operations Manager on process improvement initiatives as part of our Centre of Excellence;
- Managing invoicing tasks, including generating WIP reports, preparing budgets for the Legal Project Management team, issuing bills, and processing approved invoices;
- Ensuring timely and accurate recording, coding, approval, and payment of all supplier invoices, while adhering to internal compliance checks;
- Assisting in the organization and facilitation of workshops with internal teams and clients, promoting effective communication and teamwork;
- Documenting process maps and workflows to capture current and future operational states using tools like Microsoft Visio or Miro;
- Collecting and analyzing stakeholder requirements through interviews, surveys, and observations to ensure project goals are clearly defined;
- Supporting the team with financial oversight, including client balances and aged debt;
- Overseeing the expense management process for the team;
- Assisting the FutureLaw leadership team with onboarding new employees and offboarding departing staff, ensuring a smooth transition;
- Setting up new matters and aiding in the closure of completed cases;
- Supporting the FutureLaw team in organizing external events and webinars;
- Facilitating transformation and design thinking workshops, including managing room bookings and participant lists;
- Providing comprehensive administrative support to the FutureLaw team, including scheduling meetings, preparing agendas, and coordinating logistics for workshops and training sessions;
- Enhancing internal communications through our intranet, MS Teams sites, and email channels.
- Exceptional communication skills, both verbal and written;
- Strong attention to detail and organizational skills, with the ability to adapt to changing tasks and priorities;
- Proficient in Teams, Word, and Outlook; familiarity with Visio and financial systems is advantageous;
- Advanced proficiency in PowerPoint and Excel, including the ability to utilize complex functionalities and formulas;
- Training in TLT's house style and current legal technologies will be provided as necessary;
- Demonstrated accuracy in data management, time management skills, and organizational capabilities;
- Ability to work independently and collaboratively, maintaining a professional and positive demeanor;
- Quick to assimilate information with a keen interest in expanding knowledge of TLT, the legal sector, and our clients;
- Ability to engage effectively with senior stakeholders, fee earners, support staff, and external contacts;
- Willingness to explore new tools and embrace emerging technologies.
