Job Overview

The Mental Health Act is an interesting and important piece of legislation. Our Mental Health Act Office provides a unique and comprehensive service to both the Trust and external organisations ensuring compliance with the statutory requirements of the Act.

We work as a Team and the role of the Team Secretary is a supportive one in providing an administrative function that enables the work of the Team to run smoothly. The Team Secretary is the first respondent to incoming telephone calls so it is important that the Team Secretary can act in a professional and courteous manner, knowing when and how to escalate enquiries.

Job Description Summary (Main duties and responsibilities)

To undertake general office duties as required within agreed timescales including:

  1. Uploading and scanning statutory, and associated, patient specific paperwork that the Office is in receipt of daily, to SystmOne: Trust single electronic patient database.
  2. Receiving telephone enquiries, take accurate messages for the team, redirecting calls where appropriate. To respond in a sensitive and professional manner to all enquiries particularly from patients, relatives, or carers in accordance with Trust Policy & Procedure.
  3. Being responsible for arranging Panel Members for attendance at patient specific hearings, including: utilising established systems, maintaining a database recording attendance of Panel Members at hearings, scrutiny of the resulting invoices and submission for authorisation and payment.
  4. Maintaining the systems in place for the medical scrutiny of statutory paperwork, including: uploading relevant paperwork, notification to scrutineer, maintaining a database of named scrutineers, chasing outstanding scrutiny, recording receipt on SystmOne, notification to line manager of non-compliance.
  5. Generating patient specific correspondence from SystmOne. - Directing correspondence received in the Office using understanding of the role of the Department and the ways of working.
