Job Overview

The Mental Health Act is a critical piece of legislation that requires meticulous compliance. Our Mental Health Act Office provides a comprehensive service to the Trust and external organizations, ensuring adherence to statutory requirements.

We operate as a cohesive team, and the role of the Team Secretary is a vital one in providing administrative support that enables the team's work to run smoothly. The Team Secretary is the first point of contact for incoming calls, requiring a professional and courteous demeanor, with the ability to escalate inquiries when necessary.

Key Responsibilities
  1. Document Management: Upload and scan statutory and associated patient-specific paperwork daily, ensuring timely and accurate entry into SystmOne, the Trust's electronic patient database.
  2. Telephone Enquiries: Respond to incoming calls, take accurate messages, and redirect calls as necessary. Provide sensitive and professional responses to inquiries from patients, relatives, or carers, adhering to Trust Policy and Procedure.
  3. Panel Member Coordination: Arrange Panel Members for attendance at patient-specific hearings, utilizing established systems, maintaining a database of attendance, scrutinizing invoices, and submitting for authorization and payment.
  4. Medical Scrutiny: Maintain systems for medical scrutiny of statutory paperwork, including uploading relevant documents, notifying scrutineers, maintaining a database of named scrutineers, chasing outstanding scrutiny, recording receipt on SystmOne, and notifying line managers of non-compliance.
  5. Correspondence Management: Generate patient-specific correspondence from SystmOne and direct correspondence received in the Office, utilizing understanding of the Department's role and ways of working.
