We operate as a cohesive team, and the role of the Team Secretary is a vital one in providing administrative support that enables the team's work to run smoothly. The Team Secretary is the first point of contact for incoming calls, requiring a professional and courteous demeanor, with the ability to escalate inquiries when necessary.
Key Responsibilities- Document Management: Upload and scan statutory and associated patient-specific paperwork daily, ensuring timely and accurate entry into SystmOne, the Trust's electronic patient database.
- Telephone Enquiries: Respond to incoming calls, take accurate messages, and redirect calls as necessary. Provide sensitive and professional responses to inquiries from patients, relatives, or carers, adhering to Trust Policy and Procedure.
- Panel Member Coordination: Arrange Panel Members for attendance at patient-specific hearings, utilizing established systems, maintaining a database of attendance, scrutinizing invoices, and submitting for authorization and payment.
- Medical Scrutiny: Maintain systems for medical scrutiny of statutory paperwork, including uploading relevant documents, notifying scrutineers, maintaining a database of named scrutineers, chasing outstanding scrutiny, recording receipt on SystmOne, and notifying line managers of non-compliance.
- Correspondence Management: Generate patient-specific correspondence from SystmOne and direct correspondence received in the Office, utilizing understanding of the Department's role and ways of working.
