Job Description

The Role

We are seeking an enthusiastic and highly organised individual to join our team as Production Coordinator. This role is crucial in supporting the effective organisation of the events, emphasising speaker management, communications and coordination as well as managing agenda updates. The position also involves the management of information for multiple events across our event app, online agenda, incorporating necessary changes to facilitate a cohesive event schedule. This role demands effective coordination among various stakeholders, contributing to the overall efficiency of event planning.

A skilled Production Coordinator at Fastmarkets can leverage organisational abilities to streamline speaker and agenda management, ensuring that events align with the company's goals. By managing logistical details, the coordinator contributes to the creation of well-organised events, solidifying Fastmarkets' reputation for delivering consistently high-quality industry gatherings.

PRINCIPLE ACCOUNTABILITIES

Information Coordination:
Gathers and organises essential event information including but not limited to speaker information, bios and photos, ensuring accuracy and completeness.

Communication Liaison:
Acts as a point of contact between the event team with speakers facilitating smooth and efficient communication.

Speaker Relations & Logistical Support:
Builds and maintains positive relationships with speakers, addressing any concerns or requests they may have leading up to the event. Assists in organizing speaker schedules and logistics, ensuring that all details are well-coordinated for a seamless event.

Information Management:
Contributes to the overall preparedness of the event by ensuring that all necessary documents and websites are updated with consistently changing event information, accurate and timely.

Administrative Support:
Provides valuable administrative support to the entire conference production team.

KNOWLEDGE, EXPERIENCE AND SKILLS

We are looking for an individual who is highly motivated, driven, and have a passion to be part of a fast-paced, successful team. Being a strong team player is also important as well as someone who is happy to work flexibly.

The ideal candidate should have at least 2 – 3 years work experience in an administrative, logistics or events planning or execution role. Candidates must be fluent in written and spoken English and have a strong working knowledge of CRM and CMS systems as well as Microsoft Office. Candidates must also be willing to travel to assist onsite at events where needed.
