The Senior Events Co-ordinator reports to the Head of Events and Events Manager.


Because of the nature of the job, the SECo will be required to work hours outside of normal office hours as and when is necessary to cover events at the time they occur.


Duties:


  • To organise events as directed by the Head of Events. Duties include but are not limited to: production of marketing information for events, budgeting including P&L analysis, cost control, ticket pricing, setting up booking and ticketing systems, issue of invitations to VIPs, liaison with venues, production of delegate information sheets, running orders, co-ordinate technical arrangements.


  • Oversee the RTS Futures Committee and Events


  • Organise the annual RTS Futures Careers Fair, which takes place in London early February


  • Organise the RTS Student Masterclasses (run over one day) in November


  • Processing of awards entries via the RTS online awards entry system, training will be given


  • Processing of bookings for Awards Craft & Design and Programme Awards via the RTS online awards booking system, training will be given


  • Chasing of outstanding payments for events.


  • Responsibility for ordering and despatching duplicate awards orders. Shared responsibility within the department.


  • Attend events as directed by the Head of Events or Events Manager.


  • Attend and minute meetings as necessary.


  • Undertake any other tasks as directed by the Head of Events or Events Manager.


  • Any other duties as required.


Person specification:

  • Must be computer literate with a working knowledge of Microsoft Office suite of applications
  • Ability and aptitude to learn the CRM, Awards, ticketing and booking systems that the RTS uses and to use them as the tools to undertake the day to day work
  • Be able to work as part of a team as well as on their own initiative. This includes liaison with the Digital and Membership teams for marketing and promotions and with Finance for cost control and accounting
  • Excellent interpersonal and customer service skills, with the ability to communicate effectively with a diverse range of people, establishing and maintaining effective working relationships. Including RTS Trustees, RTS Members and members of the public.
  • Ability to prioritise workload to meet tight deadlines.
  • Able to remain calm under pressure.
  • Professional and friendly manner.
  • A good eye for detail.
  • Interest in the media.


This is a role in the headquarters of the RTS, being employed by the RTS does not mean this role will lead to a career on-screen.
