Location - Hybrid, 3 days London office and 2 days from home
Salary up to £26,000 per annum
The Role:
As a membership business, and a landmark producer of conferences, magazines, events, and award schemes for the financial services sector Shard Financial Media are continuing to grow and as a result have an exciting opportunity for an Event Coordinator.
The Event Coordinator will report to the Senior Event Manager and will support the planning and delivery of a range of client events. You will have the opportunity to help shape these events to ensure excellent customer experience and engagement, whilst expanding your knowledge of the events industry.
Key Responsibilities:
- Support with planning, preparation, and delivery of all the events (conference, awards, broadcasts, roundtables, and judging days) for Shard Media Group
- Lead on creating booking confirmations, joining packs, exhibitor/speaker packs and other event materials such as signage, event guides, and badges
- Support with sourcing suitable venues and suppliers
- Lead on setting up digital event platforms
- Lead on managing sponsor deliverables. Responsible for collecting sponsor logos, company profiles and attendee information
- Strong customer focus through the development of excellent client relationships with speakers, sponsors, delegates, and suppliers
- Management of the dispatch and return process for event collateral/equipment to venues/studios
- Booking event staff travel and accommodation
- Attendance at all events and assist in the delivery from set up to close
- Effective attendee data management through capturing crucial attendee information, table planning etc
- Assist with event debriefs and development to help improve events year on year
- Lead on some office administration and management of the Events cupboard & storage
Skills, knowledge, and work experience requirements:
- 1-2 years experience of working in an organisation that runs events
- An Event Management degree would be beneficial but not essential
- Strong communication skills, both written and spoken English
- Comfortable dealing with multiple interconnecting elements of event preparation, requiring good organisational skills and attention to detail
- Skilled in using Outlook, Excel, and Word. Excel and mail merge competence is key
- Experience using Salesforce and Swoogo would be beneficial, but training will be provided
- Comfortable learning and using event technology
- Prepared to work out of office hours to cover events- this includes travel and overnights but no weekend work required
