The role of Site Office Administrator will include but not be limited to the following tasks associate with the functional duties of site office administration. This position involves a variety of tasks ranging from basic office duties to more complex responsibilities, contributing to the overall success of the Projects.
Day to Day Duties:
- Deliver a broad range of administrative services including document control and data input.
- Obtain supplier quotations, complete material requisitions for purchasing.
- Compile delivery dockets and complete GRNs (Goods received Notes).
- Maintaining stock levels and purchasing of Equipment / Stationery for office.
- Receive, sort, and distribute incoming mail and packages.
- Completing Weekly time sheets from site for payroll purposes and agencies time-keeping records.
- Administering the site Plant and Tool Register.
- Assisting HR Department for on-boarding personnel to site.
- Assisting HR Department with Training Management System.
- Participating in HSEQ Audits for ISO Purposes.
- Managing travel plans, appointments and agendas of senior site management.
- Assist managers and executives with administrative tasks.
- Prepare reports, presentations, and other documents as requested.
- Identify and resolve routine administrative problems.
- Assisting colleagues whenever possible.
- Ad-hoc assistance to all aspects of running an efficient and productive site office.
Requirements:
- Demonstrate a proactive approach and positive attitude.
- Good communication and interpersonal skills.
- Good organisational skills with ability to prioritise workload, flexibility, and drive to finish key activities through to completion.
- Proficient in Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint).
- Ability to multitask and prioritise tasks effectively.
- Attention to detail and accuracy in work is essential.
- Familiarity with office equipment such as printers and copiers.
- Must be eligible to work in UK.
