Job Title: Service Administration Manager

Location: Glasgow

Salary: £29,000.00 per annum

Hours: 40 hours a week

Job Summary:

PDA Search and Selection Ltd is seeking a highly skilled Service Administration Manager to join their team. The successful candidate will be responsible for managing the administrative functions associated with FM service accounts, ensuring the continued operation of the service desk teams in line with agreed service levels.

Key Responsibilities:

  1. Invoicing and Financial Management: Manage the invoicing process, ensuring timely and accurate payment from clients.
  2. Parts Management: Oversee the management of spare parts, ensuring adequate stock levels and efficient ordering processes.
  3. Work Order Management: Monitor and manage outstanding work orders, ensuring prompt completion and resolution of issues.
  4. PPM (Preventative Maintenance) Management: Coordinate and manage PPM activities, ensuring compliance with contractual requirements.
  5. Contract Administration: Manage contract-specific administration roles, including quotes, contract works, and other related tasks.
  6. Team Management: Work alongside operational management teams to ensure effective team management and leadership.

Requirements:

  1. Management Experience: At least 2 years of experience in management and administration, with a proven track record of increasing productivity within teams.
  2. Invoicing Experience: Mandatory experience in invoicing, with a strong understanding of financial management principles.
  3. Service Desk Management: Proven experience as a service desk manager, with a strong understanding of service level agreements and key performance indicators.
  4. Communication and Interpersonal Skills: Excellent communication and interpersonal abilities, with a strong focus on building effective relationships with clients and colleagues.
  5. Organizational Skills: Excellent organizational skills, with a strong ability to prioritize tasks and manage multiple projects simultaneously.
  6. Technical Skills: Excellent knowledge of MS Office and office management software, with a strong ability to work with a high degree of accuracy.
