About the Role:

We are seeking an experienced Document Control Specialist to join our team. As a Document Control Specialist, you will be responsible for ensuring the smooth operation of document control processes on construction sites. Your primary focus will be on managing and maintaining accurate and up-to-date documentation, ensuring compliance with company policies and industry standards.

Key Responsibilities:

  • Document Control:
    • Ensure all project documentation is accurate, complete, and up-to-date.
    • Manage and maintain document control systems, including Aconex, Plexus, and SnagR.
    • Coordinate with project teams to ensure timely distribution and filing of documents.
    • Monitor and report on document control metrics, including document completion rates and compliance with company policies.
  • Project Coordination:
    • Assist project managers in coordinating project activities, including site mobilization and handover.
    • Set up and maintain project records, including site records folders and electronic records systems.
    • Coordinate with project teams to ensure accurate and timely completion of project tasks.
    • Assist in the preparation and distribution of project reports and registers.
  • Administrative Support:
    • Provide administrative support to project managers and teams, including data entry, filing, and record-keeping.
    • Assist with the preparation and distribution of project-related documents, including meeting minutes and action items.
    • Coordinate with project teams to ensure accurate and timely completion of administrative tasks.
  • Communication:
    • Communicate effectively with project teams, stakeholders, and clients to ensure accurate and timely completion of project tasks.
    • Provide regular updates on project progress and document control metrics.

Requirements:

  • Experience: 2+ years of experience in document control, project coordination, or a related field.
  • Education: High school diploma or equivalent required; degree in a related field preferred.
  • Skills: Excellent communication and organizational skills; ability to work in a fast-paced environment; proficiency in document control software, including Aconex, Plexus, and SnagR.
