Job Summary:

The Document Control Specialist will assist the Document Control Manager in managing the registration, receipt, distribution, and issue of all contract documentation. This includes implementing and maintaining procedures for the production, issuing, and registering of all formal project documentation.

Key Responsibilities:

  • Collate all documents, including drawings, and maintain a record of document status.
  • Liaise with project personnel and chase outstanding information to ensure timely distribution of documents.
  • Support the supply chain in applying information processes and provide training to the MD team and supply chain.
  • Distribute documents to relevant project team members, ensuring they have the correct documents in a timely manner.
  • Ensure consistency of document submissions in adherence to project document control procedures.
  • Comply with requirements outlined in project Document Management Plan and BIM Execution Plan.
  • Work collaboratively with all users, creators, and reviewers to ensure project document control processes are followed.
  • File and archive all documents within the secure system.
  • Ensure that as-built, record drawings, and operations manuals are available at the end of the project in a format approved by the client.
  • Provide document control for all client/confidential documentation.
  • Support with administration and coordination of training of information systems where required.
  • Provide support to system reports to enable project KPIs to be prepared.
  • Provide 'super-user' services associated with the project document management systems, including folder creation and administration of starters and leavers.
  • Perform ad-hoc administrative tasks as required.
  • Provide training to project participants.

Requirements:

  • Good knowledge of document control systems in a multi-discipline project.
  • Knowledge of data management.
  • Ability to apply IT systems relevant to document control (Enterprise Bridge, ProjectWise, and Sharepoint, Aconex, others).
  • Competence in the use of Microsoft Office applications.
  • Ability to liaise with other departments and subcontractors.
