Job Description: Administrative Support Specialist

We are seeking an experienced Administrative Support Specialist to join our Marketing Team. The successful candidate will have a proven track record of providing high-level administrative support, with excellent communication and interpersonal skills.

The role involves supporting the Marketing Leadership Team, maintaining and managing Marketing VP diaries, arranging meetings, booking meeting rooms/software links, and coordinating Marketing VP meetings and conferences. You will also be responsible for creating PowerPoint presentations, Word documents, and Excel spreadsheets, as well as preparing and submitting multi-currency expense reports.

The ideal candidate will be a flexible and adaptable individual with a 'can-do' attitude and high attention to detail. They will also possess strong organizational skills, with the ability to prioritize effectively and meet deadlines.

Key Responsibilities:

  • Maintain and manage Marketing VP diaries, arranging meetings and booking meeting rooms/software links.
  • Coordinate Marketing VP meetings and conferences, including venue/hotel booking, travel, and catering.
  • Create PowerPoint presentations, Word documents, and Excel spreadsheets.
  • Prepare and submit multi-currency expense reports.
  • Manage purchase orders, ensuring payment of invoices with the EMEA finance team.
  • Conduct specific projects and research on behalf of the Marketing Team, managing information flow accurately and timely.
  • Maintain office systems, data management, and electronic filing as needed.
  • Efficiently administer Marketing legal contracts and other documentation.
  • Implement new processes and procedures to streamline work.
  • Perform other ad hoc duties as required by the Marketing Team.
