The Advocate Group is seeking a highly skilled Administrative Support Specialist to join their team in Richmond. This role will provide administrative support to the Marketing Leadership Team, maintaining and managing diaries, arranging meetings, booking meeting rooms/software links.

Key Responsibilities:

  • Provide high-level administrative support to the Marketing Leadership Team.
  • Maintain and manage Marketing VP diaries, arranging meetings, booking meeting rooms/software links.
  • Coordinate Marketing VP meetings and conferences, including venue/hotel booking, travel, and catering.
  • Attend meetings, take minutes, track and maintain action items to closure.
  • Create PowerPoint presentations, Word documents, and Excel spreadsheets.
  • Prepare and submit multi-currency expense reports.
  • Create and manage purchase orders, ensuring payment of invoices with the EMEA finance team.
  • Conduct specific projects and research on behalf of the Marketing Team, managing information flow accurately and timely.
  • Maintain office systems, data management, and electronic filing as needed.
  • Efficiently administer Marketing legal contracts and other documentation.
  • Implement new processes and procedures to streamline work.
  • Perform other ad hoc duties as required by the Marketing Team, adapting to the evolving needs of the business.

Estimated Salary: £25,000 - £30,000 per annum, depending on experience.
