Job Title: Senior Administrator Common Room

Location: Brighton College

Job Type: Full-time

Contract: Fixed-term maternity cover contract

Hours: 37.5 hours per week, Monday to Friday, 8:30am to 5:00pm

Job Summary

We are seeking a highly organized and proactive Senior Administrator to join our team at Brighton College. The successful candidate will provide administrative support to academic staff and be responsible for various school functions, including collating pupil reports, recording key meetings, managing school trips, and coordinating parent communication.

Key Responsibilities
  • Provide general secretarial duties, including dealing with phone enquiries and managing confidential information
  • Liaise with the Second Master to coordinate the completion, printing, and distribution of pupil reports and other documents
  • Take and distribute minutes for weekly Common Room morning briefings, after-school House Masters/Mistresses meetings, and Common Room AGM meetings
  • Manage budgets, including submitting budget bids, approving invoices, and allocating spend to relevant budget
  • Organize mail outs, produce parental address labels, and coordinate the systems involved in the management of school trips
  • Provide support to the Admissions department and assist with Parents Evenings as required
  • Produce routine lists, including staff lists, term dates, and house fire registers
  • Organize termly ECT conferences in liaison with the Head of Professional Development and Deputy Head (Common Room)
  • Provide support to the Deputy Heads and Exams Office as required
  • Order and maintain stationery supply
  • Use mail merge to create teacher badges and pupil guide labels for Open Morning
  • Ensure all pupil contact detail information is compliant and up-to-date

  • Excellent communicator and team player
  • Dynamic and proactive approach, with the ability to work under pressure and take initiative
  • Ability to deal with teaching staff in a fair, firm, and consistent manner
  • Self-disciplined and with excellent time management skills to work to deadlines
  • Excellent English with a sharp eye for detail
  • Flexibility to work some evenings to minute staff meetings
  • Respect for the confidential nature of some aspects of the work
  • Ability to maintain an overview of complex systems
Technical Skills
  • Strong working knowledge of Word, including the ability to do mail merges
  • Minimum of 45wpm typing speed
  • Minute taking skills
  • Knowledge of Microsoft packages, including PowerPoint and Publisher
  • Previous experience of working with databases and school timetabling systems
