Job Title: Administrative Support Specialist

Description

This critical role in our Secretarial & Business Support department is a cornerstone of our Professional Services industry, requiring a highly skilled candidate to lead the team in our Aberdeen or Inverness locations.

The company, a leading player in the professional services sector, boasts a workforce of over 700 employees and delivers a diverse range of services to various sectors nationwide and internationally.

Key Responsibilities
  • Manage diaries, scheduling appointments, arranging meeting rooms, tracking responses, and organizing refreshments as needed.
  • Handle new client queries, including relevant details of the background to the query.
  • Anticipate meeting requirements, organizing papers, producing itineraries, directions, and backgrounds/profile information.
  • Proactively manage emails, ensuring documentation is copied to client folders (as required), flagging important emails, and dealing with urgent matters when out of office or in meetings.
  • Scan mail, save it to the document management system ('DMS'), organize necessary responses for lawyers and paralegals, and prioritize multiple projects.
  • Maintain practice area organization during times of holiday absences.
Salary

£35,000 per annum, depending on experience.
