Job Title: Administrative Support Specialist

We are seeking a highly organized and detail-oriented individual to provide critical support to our Engineering Team at Vital Group. This role will ensure seamless day-to-day operations and drive business growth.

Key Responsibilities & Duties:
  • Compliance (SHEQ):
    • Support the administration and planning of SHEQ activities.
    • Compile and issue regular Safety reports.
    • Coordinate documentation and scheduling of company accreditations (including CHAS, Constructionline, Safe Contractor, ISO9001, ISO45001, and NICEIC).
    • Manage NICEIC compliance requirements and maintain records to satisfy accreditation.
    • Responsible for maintaining records of actions advised following audit results and preparing timely updated reports on WIP, key actions, and deadlines.
    • Organize audit visits based on a well-maintained schedule of key dates.
    • Control Issue and logs of Toolbox Talks and Safety Notices issued by the SHEQ Manager.
    • Manage Environmental incident logs and reports.
  • Engineering (Field Service):
    • Provide back-office support to Engineering Supervisors, assisting with reports, data gathering, booking courses, renewals, passes, ordering tools, PPE, and vehicle compliance/servicing/repair/rental.
    • PPE requirements and van stock management.
    • Calibrated test equipment tracking and expiry dates.
  • Engineering (Projects):
    • Coordinate Technical Appraisal and survey documents and assign to relevant team members.
    • Maintain shared files and document control processes for quick access to relevant and historical documents.
    • Maintain version control of templates.
  • Engineering (Competencies & Training):
    • Manage the Engineering Competency Matrix.
    • Responsible for keeping logs of certificates and evidence of competency assessments when required and coordinating any required actions.
    • Receive copies/originals of certs during onboarding of new Engineers.
  • Education, Qualifications & Experience Criteria:
    • Previous experience in a similar Office Admin type role.
    • Excellent organizational skills.
    • Computer literacy with Microsoft Office (Word and Excel) experience.
    • Excellent communication, verbal and written, skills.
    • Ability to manage own workload and establish priorities.

Estimated Salary: £28,000 - £32,000 per annum, depending on experience.
