Job Title: Administrative Coordinator - Document Control

Kinetic Recruitment are currently resourcing for an experienced Document Controller to cover maternity leave at our client's site in Heaton.

The successful candidate will be responsible for managing the document control process, ensuring compliance with contractual, legal, and business regulations.

Main Responsibilities:

  1. Identify and number documents that come into the business
  2. Utilize an electronic document management system (EDMS) to index, store, and retrieve a wide variety of document types
  3. Convert paper documents to digital format by scanning them using software linked to the EDMS
  4. Review documents, check they comply with regulations, create revisions, and archive outdated versions
  5. Distribute documents to relevant people, departments, or organizations, and inform them when they need to take action on a document as part of a process
  6. Create master document templates and forms, and train employees how to use them
  7. Prepare and update document control procedures for the company
  8. Ensure that departments follow the correct procedures in the document flow process

About the Role

  • Support the Operational Excellence team with the Quality Management System, ensuring documents are within validity
  • General administration support to project teams, raise purchase order requests, support with the project management system, and its continued development and implementation
  • Support with the running of the office and continued maintenance and compliance through communication with the facility management team

Working Hours: Monday - Thursday 8am-4.30pm / Friday 8am-1pm (37 hours).
