Personal Assistant and Office Coordinator

Job Role OverviewWe're seeking a seasoned Personal Assistant and Office Manager to join our dynamic team at GB Bank's London Headquarters. This dual-function role is pivotal in supporting our executive and senior management team, enabling them to focus on strategic objectives while ensuring smooth office operations and fostering a positive work environment for all employees.
Key Tasks and Responsibilities- Scheduling and Communication: Collaborate with the Executive Team and senior management to ensure they're effective, manage their schedules, diaries, and inboxes, and ensure timely event management and communication.
- Expense and Administrative Support: Oversee expense management and provide administrative support with projects, including agenda preparation, minute-taking, and follow-up actions.
- Office Maintenance and Operations: Oversee day-to-day office operations, including supply management, equipment maintenance, and maintaining a clean and organized workspace.
- Team Collaboration and Social Events: Contribute to planning office and team social events, arrange transportation and accommodations as needed.
- Infrastructure and Health and Safety: Assist in planning office layout and infrastructure changes, including workstation modifications, and ensure health and safety policies and procedures are documented, updated, and communicated to staff.
- Qualifications: Good experience using Microsoft Office, including Word, PowerPoint, Excel, and Outlook. Experience supporting leaders and executives in Financial Services.
- Skills and Abilities: Strong organizational skills, ability to work under pressure, good communication and interpersonal skills, discretion when handling confidential information, and prioritization skills.
- Annual Salary: £38,200 - £43,600 per annum (estimated based on location and requirements).
- Pension Contribution: 8% company pension contribution and 3% individual contribution (which can be increased).
- Holidays and Time Off: 30 days holiday per year, including your birthday off and bank holidays, plus four weeks of flexible working per year.
