Administrative Support Specialist

We are working with a public sector client in Belfast to recruit a highly professional Executive Assistant. This temporary role requires an individual with exceptional organisational skills, discretion, and a proactive approach to supporting senior leadership.
This opportunity offers a challenging and rewarding experience for an experienced administrative professional.
- Estimated salary: £31,000 per annum
- Working hours: Monday to Friday, 9am-5pm (Some flexibility available)
To be successful in this role, you will need:
- A minimum of 5 GCSEs (or equivalent) at Grade C or above, including English and Mathematics.
- Proven experience of at least 3 years in an Executive Assistant or similar senior administrative role, supporting high-level management.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including advanced Excel skills (pivot tables, data analysis, and reporting).
- Excellent organisational skills with the ability to manage complex diaries, coordinate multiple priorities, and meet tight deadlines.
- Ability to take minutes.
- Exceptional communication skills, both written and verbal, with a high level of professionalism when interacting with internal and external stakeholders.
- Discretion and the ability to handle sensitive and confidential information with integrity.
- Strong attention to detail, accuracy, and a proactive approach to problem-solving.
- Excellent time management skills, with the ability to prioritise tasks and manage competing demands effectively.
In this role, you will be responsible for:
- Providing comprehensive administrative support to senior management, including managing complex calendars, arranging meetings, and prioritising requests.
- Preparing, editing, and proofreading correspondence, reports, presentations, and other high-level documents.
- Coordinating and managing complex travel arrangements, including booking flights, accommodation, and preparing itineraries.
- Liaising with internal and external stakeholders to ensure smooth communication and flow of information.
- Handling confidential and sensitive information with discretion and professionalism.
- Acting as the primary point of contact for senior management, filtering requests, answering queries, and providing timely responses.
- Taking minutes at meetings, compiling reports, and following up on action points as required.
- Assisting with the coordination of events, conferences, and workshops, ensuring all logistics are handled efficiently.
- Managing filing systems and ensuring all records are kept up to date, accurate, and accessible.
- Monitoring and managing expenses, ensuring compliance with the organisation's financial procedures.
- Providing general support across various departments as required, including project coordination and reporting.
