Administrative Support Specialist

Hays Business Support is partnering with the Northern Ireland Assembly to recruit an Administrative Support Specialist on a temporary full-time basis. This role offers the opportunity to gain valuable experience in a dynamic and supportive environment.
Key Responsibilities:- Provide high-quality customer service to diverse groups, both internal and external, by communicating effectively and responding promptly to inquiries.
- Offer accurate information in a professional manner by referring to organisational policies and procedures, ensuring compliance and consistency.
- Deliver timely administrative support as needed, including filing and photocopying, diary management, and other tasks to maintain a smooth workflow.
- Maintain various databases, spreadsheets, and electronic filing systems to aid document storage and retrieval, ensuring data accuracy and accessibility.
- Record and distribute correspondence, emails, mail/post, monitor electronic mailboxes, and deal with routine correspondence efficiently.
- Organise meetings, events, and visits, including issuing papers, ordering hospitality, meeting visitors, and responding to housekeeping queries in a courteous and professional manner.
- Effectively utilise Microsoft Office and bespoke internal software systems to prepare documents, reports, and presentations.
- Hold 2 GCE A-levels grade A*-C in separate subjects & 5 GCSEs Grade A*-C, including English language and Mathematics, demonstrating academic achievement and foundation for success.
- Have at least 2 years' experience in an administrative role, utilising oral and written skills, organising workload, and using Microsoft Office to deliver results.
The hourly rate for this position is £56, offering a competitive salary for a temporary role. With possible extension, this position provides stability and opportunities for growth in a supportive environment.
