Position Overview

We are pleased to present an opportunity for a Band 4 Outpatient Services Administrative Coordinator to become a vital part of our Occupational Therapy team.

This role is essential in enhancing our administrative operations, focusing on the implementation and optimization of newly established administrative frameworks and systems that bolster our service delivery and performance metrics. We seek a candidate with a solid administrative background who is eager to gain experience in performance management and data analysis, contributing to innovative projects aimed at enhancing patient care.

Key Responsibilities

This dynamic role will require you to:

  • Serve as the primary resource for secretarial, administrative, and clerical support for outpatient activities within the Occupational Therapy service.
  • Exhibit a comprehensive understanding of outpatient Occupational Therapy services, becoming the expert in the administrative processes and systems utilized.
  • Act as the main point of contact for administrative inquiries, ensuring accurate documentation of related activities.
  • Assist in coordinating and managing the administrative team supporting Occupational Therapy, ensuring responsive support for outpatient staff.
  • Engage in delegated projects focused on quality and performance enhancement.
  • Support the Occupational Therapy manager in analyzing outpatient activities and implementing improvement strategies.

Qualifications and Experience

Essential:

  • Achieved or pursuing a Level 3 qualification in business administration or a related field, or possess significant equivalent experience.
  • Proven experience in an office environment, with proficiency in Office applications including Excel, Word, and Outlook.
  • Some experience in statistical analysis and interpretation.
  • Ability to draft and compile reports effectively.
  • Strong interpersonal skills to liaise confidently with professionals at all levels.
  • Ability to manage and prioritize workload efficiently.
  • Organizational skills, including managing diary systems and tracking information.

Desirable:

  • Knowledge of email systems and data analysis tools.
  • Experience in a supervisory capacity.
  • Technical expertise in relevant software applications.
