Proposal Coordinator / Office Based
This Proposal Coordinator role is integral to a leading firm specializing in rail infrastructure. In this position, you will oversee the orchestration of proposal submissions, ensuring that all components, including structure, content, and responses to inquiries, are meticulously prepared and submitted in accordance with established tender protocols and timelines. Additionally, you will support the organization’s marketing communications efforts.
Key Responsibilities of the Proposal Coordinator:
- Facilitating the proposal submission process while comprehending and conveying evaluation criteria and weighting.
- Collaborating with the pre-contract team to craft and design high-quality proposals, including submissions, presentation materials, and capability documents that align with corporate branding standards.
- Accessing client portals to gather tender information, as well as submitting and retrieving proposals.
- Documenting all project opportunities and maintaining current information across internal systems.
- Editing and formatting final materials to adhere to branding guidelines.
- Regularly updating a repository of standard PQQ and tender responses, including CVs and case studies.
- Working alongside the broader bid team to develop compelling proposals.
- Creating graphics to enhance PQQ and tender submissions.
- Providing administrative assistance to the bid team as necessary.
- Marketing Support - Assisting in the creation of content for both internal and external communications through various media, ensuring a consistent identity and effectively conveying key messages.
Proposal Coordinator Qualifications:
- A minimum of 2 years' experience in a comparable position.
- Proficient in IT, with strong capabilities in Microsoft Office Suite and Adobe InDesign.
- Ability to manage multiple tasks and meet tight deadlines in a high-pressure environment.
- Experienced in editing, reviewing, and proofreading for clarity and grammatical accuracy.
- A collaborative team player with strong communication skills, capable of fostering positive working relationships across various functions.
- Exceptional organizational and administrative skills with a keen attention to detail.
- A motivated and adaptable individual, willing to take initiative as well as follow directives.
