Position Overview

We are pleased to announce an opportunity to join our Vascular Surgery Division as a full-time Healthcare Administrative Coordinator. This role offers a valuable chance to advance your career in healthcare administration, contributing to a dynamic surgical service.

We seek an individual with substantial experience in the NHS, who is motivated and eager to learn. Exceptional communication skills are essential, along with the ability to work effectively within a team. You will interact with patients of various age groups, healthcare professionals at all levels, and management personnel within the organization and external entities. Strong time management abilities are crucial, as you will need to manage a demanding workload efficiently.

The Vascular Surgery Division is dedicated to delivering outstanding patient care and ensuring positive experiences for all patients, consistently reflecting the core values of the trust.

Key Responsibilities

- Provide comprehensive administrative and secretarial support at a senior level to Consultants and clinical teams within the division.

- Deliver efficient and high-quality administrative assistance to the Consultant team and other healthcare professionals, including managing the cancellation of clinical activities due to leave.

- Assist in the preparation for departmental audits and meetings, including agenda creation and minute-taking.

- Facilitate effective communication between Consultants and coordinate scheduling for weekly meetings as necessary.

- Exhibit excellent communication skills to provide the highest level of support to Consultants and the clinical team.

- Collaborate closely with staff and other healthcare professionals within the Multi-Disciplinary Team to ensure a first-class service for patients and colleagues.

- Actively engage as a supportive member of the broader team within the division.

- Assist the Specialty Manager with appointment validation, including booking and cancelling appointments, and liaising with clinicians and other staff.

Job Requirements

Qualifications and Training

Essential

  • Good general education, including GCSE in Maths or English (or equivalent)
  • Typing speed of 60 WPM minimum
  • RSA III or equivalent experience
  • AMSPAR Diploma
  • Dictation experience or equivalent

Desirable

  • Customer care training or equivalent experience
  • Higher education qualification in business administration or an administrative NVQ

Knowledge

Essential

  • Familiarity with medical terminology
  • Experience in office management
  • Understanding of the Confidentiality and Data Protection Act, GDPR

Desirable

  • Awareness of NHS priorities
  • Knowledge of NHS complaints procedures

Skills

Essential

  • Ability to work independently
  • Proficient in computer and word processing skills, including email usage (e.g., creating directories, documents, mail merges, etc.)
  • Excellent communication and interpersonal skills
  • Strong organizational abilities
  • Capability to generate routine correspondence independently

Desirable

  • Proficiency in Excel, PowerPoint, and Access
  • Experience with Patient Administration Systems (iClip) and Electronic Patient Records (EPR) or equivalent

Experience

Essential

  • Significant and current experience in secretarial or administrative roles, with some time spent as a medical secretary
  • Experience working in a hospital environment
  • Proven ability to establish and maintain effective office systems
  • Proficiency in audio typing

Desirable

  • Experience working within multi-disciplinary teams
  • Familiarity with Vascular Surgery
