Job Title: Facilities and Site Manager

CBRE Local UK is seeking a highly skilled Facilities and Site Manager to join our team. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day operation of our facilities, maintaining excellent client relationships, and ensuring compliance with health and safety regulations.

Key ResponsibilitiesCustomer
  • Develop and maintain strong relationships with clients, ensuring exceptional service delivery and attending client meetings as required.
  • Manage service agreements, monitoring key performance indicators and taking corrective action to ensure required standards are met.
  • Produce management reports to support business needs.
  • Liaise with the building manager and procurement department to ensure effective contract management.
  • Monitor FM works onsite and collaborate with service providers/sub-contractors.
  • Manage day-to-day customer relationships with the site team.
  • Communicate changes to site scope and services to the Contract Manager.
  • Prepare quotes for additional subcontractor works and upload to Web Quote for client approval.
  • Organize approved additional works with subcontractors up to 30k.
  • Identify opportunities for continuous improvement and inform the Contract Manager/client.
  • Maintain the fabric of the building to a high standard, in accordance with the management contract and agreed budgets.
QHSE & Compliance
  • Ensure all health and safety compliance onsite, including third-party service providers and maintenance records.
  • Compile and maintain management information/records relating to company health and safety and other related records.
  • Conduct regular fire evacuations and ensure emergency plans and site maps are up-to-date.
  • Liaise with local authorities as necessary.
  • Proactively manage risk and deal with insurance issues onsite.
  • Collaborate with the onsite planner to provide input into planning/scheduling.
  • Ensure site team follows QHSE procedures, including PPE provision, use, and inspection.
  • Complete OP61 (Client review) and OP63 (Contractor Checklist) monthly.
  • Complete dynamic risk assessments for jobs not covered by CBRE site risk assessments.
  • Report incidents and accidents, producing follow-up Root Cause Analysis/Learning from Experience.
Subcontractors
  • Oversee third-party contracts to ensure the correct standard of service is provided.
  • Request RAMS from subcontractors 2 weeks before due visit date and submit for approval at least 48 hours before service visit.
  • Notify subcontractors of planned visit dates in conjunction with the CBRE OP18 document.
  • Ensure subcontractor logbooks are compliant with CBRE/Client procedures and demonstrate compliance at audits.
  • Read subcontractor worksheets and escalate any issues with the Contractor Manager.
  • Liaise with subcontractors on reported defects.
  • Ensure subcontractors have been monitored as per client/CBRE procedures.
