Job Title: Facilities and Site Manager

This role is responsible for ensuring the effective management of facilities and site operations, ensuring compliance with health and safety regulations, and providing excellent customer service.

Key Responsibilities:

Customer Service

  1. To develop and maintain strong relationships with clients, ensuring they receive high-quality service and support.
  2. To manage service agreements and ensure compliance with client budgets and requirements.
  3. To monitor key performance indicators and take corrective action to ensure high standards are maintained.
  4. To manage major work programs on site, acting as the liaison point for all parties involved.
  5. To produce management reports to support business needs.
  6. To liaise with the building manager and procurement department to ensure effective contract management.
  7. To monitor FM works onsite and liaise with service providers/sub-contractors.
  8. To ensure work orders are completed before work commences.
  9. To attend regular meetings and manage day-to-day customer relationships with the site team.
  10. To communicate changes to site scope and services to the Contract Manager.
  11. To assist with preparing quotes for additional subcontractor works and uploading to Web Quote for client approval.
  12. To organize approved additional extra works with subcontractors up to £30k.
  13. To identify opportunities for continuous improvement and inform the Contract Manager/client.
  14. To ensure the fabric of the building is maintained and serviced to a high standard.
  15. To provide solutions to issues that may arise and support ad-hoc activities.

QHSE & Compliance

  1. To be responsible for health and safety compliance onsite, including third-party service providers and maintenance records.
  2. To compile and maintain management information/records relating to company, health and safety, and other related records.
  3. To ensure fire and other evacuations are carried out regularly in accordance with health and safety requirements.
  4. To liaise with local authorities as appropriate.
  5. To proactively manage risk and deal with insurance issues on site.
  6. To work with the onsite planner to provide input into planning/scheduling.
  7. To manage work order completion via client systems.
  8. To manage use of Avetta, including employee and work order compliance.
  9. To ensure the site team follows QHSE procedures, including provision, use, and inspection of PPE.
  10. To ensure OP61 and OP63 are completed monthly.
  11. To complete dynamic risk assessments for jobs not covered by CBRE site risk assessments.
  12. To escalate work outside of agreed site scope if requested.
  13. To conduct toolbox talks and ensure team sign-off.
  14. To ensure safety spotlights are completed.
  15. To ensure hazard reporting is submitted weekly.
  16. To complete QHSE and AGM audits within timeframes.
  17. To report incidents and accidents, including producing follow-up Root Cause Analysis/Learning from Experience.

Subcontractors

  1. To oversee third-party contracts to ensure the correct standard of service is provided.
  2. To manage use of Avetta, including supplier compliance, work orders, and workers.
  3. To request RAMS from subcontractors 2 weeks before the due visit date and submit onto the system for approval.
  4. To notify subcontractors of planned visit dates in conjunction with the CBRE OP18 document.
  5. To ensure all passes are approved on Client's Right Crowd and complete full site induction before work commences.
  6. To ensure subcontractor logbooks are compliant with CBRE/client procedures.
  7. To read subcontractor worksheets and escalate any issues with the Contractor Manager.
  8. To liaise with subcontractors on reported defects.
  9. To ensure subcontractors have been monitored as per client/CBRE procedures.
