Position Overview
In the role of Administrative Coordinator for Executive Leadership at Quicklet Property Management, you will be instrumental in facilitating the seamless functioning of our executive team. Your responsibilities will encompass comprehensive administrative assistance, schedule management, meeting coordination, and project support. The ideal candidate will exhibit exceptional organizational skills, possess outstanding communication abilities, and adeptly manage multiple tasks with professionalism and discretion.
Core Responsibilities:
- Deliver high-level administrative assistance to the executive leadership.
- Oversee and maintain executive schedules, including appointments, meetings, and travel logistics.
- Coordinate and prepare documentation for meetings, presentations, and reports.
- Manage incoming and outgoing communications on behalf of executives, including emails and correspondence.
- Support project management activities, including tracking timelines, deadlines, and deliverables.
- Safeguard confidential and sensitive information with the highest level of discretion.
- Conduct research and compile data to aid in decision-making processes.
- Engage with internal and external stakeholders, including clients, vendors, and team members.
- Perform market research and gather data related to acquisitions.
- Maintain relationships with acquisition targets.
- Participate in weekly property meetings and follow up on required actions.
- Execute additional administrative tasks as necessary to enhance the efficient operation of the organization.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related discipline is preferred.
- A minimum of 2 years of experience in an Executive Assistant role or a similar capacity.
- Exceptional organizational and time management capabilities.
- Strong written and verbal communication skills.
- Proficiency in Google Suite.
- Ability to work autonomously and manage multiple priorities in a dynamic environment.
- High level of professionalism and confidentiality.
- Excellent problem-solving skills and attention to detail.
- Familiarity with the property management or real estate sector is advantageous.
