Position Overview

As an Administrative Coordinator at Quicklet Property Management, you will be instrumental in facilitating the efficient operation of our executive team. Your role will encompass comprehensive administrative support, schedule management, meeting coordination, and assistance with various projects. The ideal candidate will be exceptionally organized, possess strong communication skills, and be capable of managing multiple tasks with a high level of professionalism and confidentiality.

Key Responsibilities:

  • Deliver high-level administrative assistance to the executive team.
  • Oversee and organize executive schedules, including appointments, meetings, and travel logistics.
  • Prepare and coordinate materials for meetings, presentations, and reports.
  • Manage incoming and outgoing communications on behalf of executives, including emails and correspondence.
  • Support project management efforts by tracking progress, deadlines, and deliverables.
  • Safeguard confidential and sensitive information with the utmost discretion.
  • Conduct research and compile data to aid in decision-making processes.
  • Engage with internal and external stakeholders, including clients, vendors, and team members.
  • Perform market research and gather data related to potential acquisitions.
  • Maintain relationships with acquisition targets.
  • Participate in weekly property meetings and follow up on required actions.
  • Execute additional administrative tasks as necessary to ensure the smooth operation of the company.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related discipline preferred.
  • A minimum of 2 years of experience as an Executive Assistant or in a comparable role.
  • Outstanding organizational and time management abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Suite.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • High degree of professionalism and confidentiality.
  • Strong problem-solving skills and meticulous attention to detail.
  • Familiarity with the property management or real estate sector is advantageous.
