Position Overview

An excellent opportunity has emerged to become a vital member of our administrative team as an Administrative Support Specialist within the Respiratory Department, working 30 hours per week from Monday to Friday. The ideal candidate will possess demonstrated expertise in audio transcription with a focus on both speed and precision. A keen eye for detail is essential in this position.

You will collaborate closely with consultants, nursing staff, other healthcare professionals, and internal and external colleagues.

The Administrative Support Specialist will be tasked with delivering efficient and effective assistance to the Medical Secretaries, including providing coverage for other Support Specialists and Medical Secretaries within the Business Unit to aid clinical teams during periods of absence, as directed by the Medical Administration Manager to meet service needs.

This role involves typing clinic correspondence utilizing the digital dictation system, managing incoming mail, organizing files, and performing various general administrative tasks as assigned by the Medical Administration Manager.

The position requires adaptability and the capability to undertake a diverse range of administrative and typing responsibilities as services evolve.

Key Responsibilities

Handle daily correspondence, initiating suitable responses to furnish patients, staff, and other stakeholders with necessary information in a courteous and professional manner. Receive phone calls, taking messages on behalf of team members, and taking appropriate actions to coordinate patient information for timely access. Produce clinical correspondence as dictated by clinical staff through audio or copy typing. Generate copies for relevant agencies, ensuring proper filing and follow-up arrangements are established, and maintain a list of outstanding investigations on the hospital database system. Process urgent referrals and schedule appropriate outpatient appointments. Participate in team and Trust meetings as required.

Qualifications

Essential

  • RSA Stage II or equivalent qualification in typing
  • Audio typing RSA Stage II or equivalent
