Job Summary:

The Administrative Coordinator for School Transportation Services will play a crucial role in the daily operations of our school taxi service. This position requires a highly organized individual who can manage a busy workload, handle multiple time-critical tasks, and ensure all processes comply with regulatory standards.

Key Responsibilities:
  • Scheduling and Coordination:
    • Organize and manage daily schedules for taxi drivers and routes.
    • Communicate with schools, parents, and drivers to confirm pick-up and drop-off times.
    • Adjust schedules as needed in response to changes or emergencies.
  • Compliance Management:
    • Ensure all drivers have up-to-date certifications and background checks.
    • Maintain accurate records of vehicle maintenance, insurance, and inspections.
    • Monitor compliance with all relevant regulations and policies.
  • Administrative Duties:
    • Answer phone calls and emails promptly and professionally.
    • Maintain organized and up-to-date files and records.
    • Prepare and distribute daily, weekly, and monthly reports as required.
  • Communication:
    • Serve as a primary point of contact for parents, drivers, and school staff.
    • Address and resolve any issues or concerns related to transportation services.
    • Provide clear and timely communication to all stakeholders.
  • Time Management:
    • Prioritize tasks to manage a high volume of work effectively.
    • Ensure all time-sensitive processes are completed accurately and on schedule.
    • Implement strategies to improve efficiency and workflow.

  • Technical Proficiency: Competence with Google Applications (Gmail, Calendar, and Drive) and ability to learn new systems quickly.
  • Interpersonal Skills: Ability to work effectively with a diverse range of individuals, including children, parents, drivers, passenger assistants, and school staff.
Preferred Qualifications:
  • Previous Experience: Previous experience in a similar administrative role, ideally within a transportation or school environment.
  • Knowledge of Compliance Requirements: Knowledge of compliance requirements for transportation services.
