Role Overview

In the capacity of an Administrative and Reception Support Specialist, you will play a vital role in welcoming guests, managing office supplies, coordinating meetings, and providing comprehensive administrative assistance to our client operations.

A successful candidate will possess a friendly demeanor, capable of establishing rapport effortlessly. The ability to manage urgent tasks efficiently and multitask effectively is crucial for this role. This position requires hands-on involvement and collaboration with team members to ensure exceptional service delivery.

Key Responsibilities

  • Warmly greet clients and visitors, ensuring a professional atmosphere
  • Manage diaries and schedules, including booking meeting rooms
  • Prepare meeting spaces and arrange catering services
  • Oversee mail and courier coordination
  • Procure office supplies and catering as needed
  • Provide IT and administrative support

Administrative Duties

  • Prepare documents through scanning, printing, and binding
  • Sort and distribute incoming mail, utilizing in-house scanning software
  • Manage outgoing mail, including franking and courier arrangements
  • Organize and maintain hard copy document storage in compliance with client protocols
  • Handle expense processing and travel arrangements
  • Assist with client billing and electronic payment verification
  • Maintain filing and archiving systems
  • Support the Office Manager with various ad-hoc tasks
  • Ensure meticulous attention to detail and quality in all tasks
