About the Role

This is an exciting opportunity to join Hays Specialist Recruitment Limited as an Administrative Support Specialist, providing high-quality administrative support to the Senior HR Leader and the Talent and Capabilities Team.

Key Responsibilities
  • Meeting Coordination: Organize and coordinate meetings with internal and external stakeholders, ensuring seamless logistics and arrangements.
  • Minute Taking: Accurately take minutes at formal meetings and circulate them as required, maintaining a high level of attention to detail.
  • Document Development: Develop and maintain templates, documents, and guides in various software packages, ensuring consistency and quality.
  • Mail and Document Management: Manage mail distribution lists, organizational charts, and other documents, ensuring timely and secure distribution.
  • Post and Scanning: Collect and distribute physical post, scanning and emailing colleagues as needed.
  • Process Improvement: Assist in reviewing and improving internal processes, ensuring the most suitable HR functions are carried out by the right roles.
  • Talent and Capabilities Support: Manage the Talent and Capabilities email account, dealing with frontline enquiries and signposting enquirers to relevant policies.
  • Facilitator Support: Provide administrative support to external facilitators, managing reception and escorting arrangements as required.
  • Training Administration: Circulate and collate training evaluation forms, assist with training record management, and reporting.
  • Senior HR Support: Provide administrative support to senior HR colleagues during periods of peak activity, such as annual pay award processing and in-year bonus scheme management.
  • Staff Engagement: Ensure that information on the intranet remains up-to-date and relevant, supporting staff engagement.
  • Stationery and Consumables: Organize stationery and other consumables for HR as required.
  • HR Workspace Support: Report issues with the HR workspace to relevant helpdesks and follow through to resolution.
