Job Purpose:
- To deliver comprehensive reception services and administrative assistance for the Ealing Education Centre (EEC) and associated professional development initiatives for educational staff and governors.
- To utilize Ealing CPD Online, our digital training and venue management platform, for disseminating training information, managing applicant bookings, coordinating room reservations, and providing support to educational institutions and individuals in navigating the system, alongside managing the EEC email correspondence.
- To aid in the coordination, administration, marketing, and financial operations of the training programs and events for school staff and governors, as well as EEC venue management.
- To offer business administrative support to designated school improvement and effectiveness officers.
Duties and Responsibilities:
- To ensure a full reception service for the professional development and training center, Ealing Education Centre (EEC).
This will include, for example:
Welcoming and directing visitors, which may include members of the public utilizing the facilities, managing telephone inquiries, handling incoming and outgoing mail and deliveries, assisting users with room setups including furniture arrangements, providing support with ICT equipment and troubleshooting AVA/ICT issues, ensuring timely availability of refreshments and catering, monitoring consumable stock levels to inform ordering processes, relaying messages, and coordinating with Council maintenance staff as needed.
Occasional periods of independent work will be required.- To be adept in all functionalities of Ealing CPD Online, advising and assisting schools, organizations, training providers, and stakeholders in effectively managing training programs, events, and the Education Centre facilities. This includes managing enrolments, confirmations, registers, evaluations, room bookings, and news updates.
- To provide administrative support for the training commissioning process and assist officers and projects as assigned.
- To maintain organized and current records related to CPD and training, including electronic and financial documentation. To generate relevant reports and information for management as necessary.
- To conduct various financial transactions related to training and EEC operations using Council financial systems, including monitoring stock levels, raising purchase orders, organizing journal transfers, and issuing invoices.
- To support the marketing and promotion of events and revenue-generating initiatives.
- To assist in the planning, coordination, and execution of training events, briefings, meetings, conferences, and other activities held at the EEC or alternative venues, including managing and providing necessary stationery and training materials.
