Position Overview

An exceptional opportunity has emerged for a proactive and innovative Office Coordinator within the Integrated Therapies administrative division. This role is situated within our Orthotics sector, where you will be instrumental in ensuring the seamless operation of the department's administrative tasks.

The ideal candidate will possess strong communication abilities, a collaborative spirit, and a keen eye for detail and precision. A professional telephone demeanor is essential, as daily interactions with patients and their families will be a key aspect of the role. You should be adept at planning and prioritizing tasks effectively, adhering to set deadlines, and demonstrating flexibility to accommodate the service's requirements. Proficiency in Microsoft Word, Excel, and PowerPoint is necessary, along with a willingness to learn the Lorenzo patient administration system.

Key Responsibilities

Your primary duties will include:

  • Delivering a versatile, comprehensive, and efficient administrative support service.
  • Managing patient referrals and pathway-related information, identifying any discrepancies from expected timelines, and promptly communicating unresolved issues to the Clinical Team.
  • Training and mentoring junior administrative staff and apprentices to ensure competency standards are met and maintained.
  • Executing routine administrative tasks independently while assisting team members with a full spectrum of administrative functions, including:
    • Handling incoming and outgoing correspondence.
    • Validating and processing changes to clinical diary templates in accordance with established procedures.
    • Overseeing the e-referral and Choose and Book processes.
    • Maintaining the patient tracking list and escalating any unresolved matters to the Clinical Team.
