Mintel International is excited to announce an opening for an HR Systems Specialist within our global human resources division.

In this role, you will serve as the go-to expert for all HR systems, concentrating on the support of comprehensive HRIS business workflows, particularly in reporting and application support. You will be instrumental in providing ongoing system assistance to key stakeholders, overseeing the daily management of the HR systems Ultipro and Greenhouse.

Key Responsibilities:

System Oversight and Management

Collaborate with both functional and technical teams to facilitate the application of upgrades or fixes. Offer first-level support to employees and managers regarding system functionality inquiries. Assist users of HRIS systems in resolving system and interface issues. Manage assigned functions, including recruitment, classification review, compensation, employment, leave, and benefits administration. Support the review, testing, and implementation of HRMS upgrades or patches. Maintenance: Assist with all maintenance tasks related to the various Ultipro and Greenhouse modules, ensuring optimal performance. New Modules: Aid in the development, testing, and implementation of new modules, adhering to Mintel's security protocols and GDPR regulations. Upgrades: Coordinate with relevant departments and the HR team to schedule and test all related upgrades, and manage periodic database maintenance for testing and development environments. Troubleshooting: Act as the primary contact for any inquiries related to the Ultipro and Greenhouse systems, logging necessary issues with the system provider and keeping users informed.

Data Integrity Management

Change Verification: Safeguard the integrity of system data by ensuring that only authorized modifications are executed. System and User Audits: Conduct data audits, data cleansing exercises, user audits, and security access reviews. Maintain data integrity by running queries and analyzing data. Ensure the accuracy and integrity of all data within the systems by administering all system updates.

Training and Development

User Documentation: Create and maintain clear documentation for managers and HR processes, ensuring it is relevant and user-friendly. Training: Oversee the development of training materials for the system, ensuring that all new users receive comprehensive training and that regular refresher sessions are provided. Develop user procedures, guidelines, and documentation, ensuring that adequate training resources are available for end users.

Reporting and Analysis

Data Extraction: Generate ad hoc management information reports for managers and the HR and accounts teams to facilitate strategic decision-making. Support: Provide assistance to the HR and accounts teams in producing necessary reports and audit documentation. Collaborate in the development of standard reports to meet ongoing stakeholder requirements. Work with HR and the business to understand core stakeholder needs regarding the building, running, and analysis of reports from the HR system.

Ideal Candidate Profile

Proven experience in system maintenance and administration. Proficient in building and modifying workflows within HR systems, including testing and implementing changes. Skilled in extracting and creating reports from HR systems for statutory and management purposes. Serve as the first point of contact for user inquiries and escalate issues with system providers as necessary, while also training employees and relevant stakeholders. Degree-level education or equivalent experience. Strong problem-solving abilities to address system-related issues. Capability to support and enhance modules within the HRIS. Ability to communicate complex functional and technical solutions effectively to end users. Excellent engagement and communication skills across all organizational levels.
