We are excited to announce an exceptional opportunity within our global human resources division for an HR Systems Specialist.

In this role, you will serve as the go-to expert for all HR systems, focusing on the comprehensive support of our HRIS business processes, particularly in reporting and application support. Your contributions will be vital in providing ongoing system assistance to key stakeholders. The successful candidate will manage the daily operations of our HR systems, including Ultipro and Greenhouse.

Key Responsibilities:

System Management and Support

  • Collaborate with both functional and technical teams to implement system upgrades or fixes.
  • Provide first-level support for system functionality inquiries from employees and managers.
  • Assist users of HRIS systems in resolving queries related to system interfaces.
  • Oversee various functions such as recruitment, compensation, leave, and benefits administration.
  • Participate in the evaluation, testing, and deployment of HRMS upgrades or patches.
  • Ensure optimal performance of Ultipro and Greenhouse modules through regular maintenance tasks.
  • Support the development, testing, and implementation of new modules in compliance with security protocols and data protection regulations.
  • Schedule and test system upgrades in coordination with relevant departments and the HR team.
  • Serve as the primary contact for any queries related to Ultipro and Greenhouse, logging necessary issues with the system provider and keeping users informed.

Data Management

  • Safeguard the integrity of system data by ensuring only authorized modifications are made.
  • Conduct data audits and cleansing exercises, as well as user access audits.
  • Maintain data integrity by running queries and analyzing system data.
  • Ensure accuracy in all system updates and data management processes.

Training and Documentation

  • Develop and maintain user guides for managers and HR processes, ensuring clarity and relevance.
  • Manage training materials for the system, providing onboarding and refresher training for all users.
  • Create user procedures and documentation to ensure comprehensive training resources are available.

Reporting and Analysis

  • Generate ad hoc management reports to support strategic decision-making.
  • Assist the HR and accounts teams in producing necessary reports and audits.
  • Collaborate with stakeholders to understand reporting requirements and develop standard reports.

Ideal Candidate Profile:

  • Proven experience in system maintenance and administration.
  • Ability to build and modify workflows within HR systems, including testing and implementing changes.
  • Experience in extracting and generating reports for statutory and management purposes.
  • Strong problem-solving skills to address system-related issues.
  • Degree-level education or equivalent experience.
  • Excellent communication skills to convey complex technical solutions to users.
  • Ability to engage effectively with all organizational levels.
