Position Overview

The North West Anglia NHS Foundation Trust is in search of a Clinical Operations Administrator to provide essential support to the Divisional Operations Manager, Service Manager, Matron for Theatres, Anaesthetics, Pain and Pre-Assessment, and the Clinical Leads for Anaesthetics.

We are looking for a proactive, enthusiastic individual with substantial experience in assisting senior management. While prior experience in a comparable position is advantageous, it is crucial that you are approachable, exceptionally organised, and capable of surpassing expectations. You will be a collaborative team member with outstanding attention to detail, adept at functioning under pressure and adhering to tight deadlines.

Proficiency in all Microsoft Office applications is mandatory. Familiarity with electronic ordering systems and workforce management tools is beneficial but not required.

Key Responsibilities

In this capacity, you will deliver comprehensive administrative support to the Divisional Operations Manager, Service Manager, Matron, and Clinical Leads.

Your role will involve assisting CBU Leadership by concentrating on key performance indicators related to workforce management, financial oversight, operational performance, and quality governance, while acting as the primary point of contact for the team, ensuring effective communication across all levels.

You will also be responsible for managing intricate electronic calendars, including daily workload adjustments, and preparing agendas, briefing documents, and precise action notes/minutes for meetings.

Candidate Profile

Education

Essential

  • Educated to GCSE level standard or equivalent (must include Mathematics and English)

Desirable

  • NVQ Level 4 in Business Administration (or equivalent)

Experience

Essential

  • Proven experience as an administrator supporting senior staff or as a personal assistant
  • Experience in facilitating meetings, both in-person and virtual, including agenda preparation, document distribution, and maintenance of action trackers

Desirable

  • Experience within the NHS environment
  • Familiarity with electronic ordering systems

Skills

Essential

  • Strong organisational and time management capabilities
  • Proficient in Microsoft Office software including Word, Excel, PowerPoint, Outlook, and Teams
  • Advanced and accurate typing skills for generating reports and correspondence, including live note-taking

Abilities

  • Ability to work independently with minimal supervision, prioritising tasks and managing workload proactively
  • Competence in managing electronic calendars and email accounts
