The Senior Administrative Coordinator will deliver confidential, high-quality, and effective business assistance to the leadership team overseeing Water Supply and Water Recycling operations.

Key Responsibilities

In this capacity, you will be accountable for specific initiatives assigned by the leadership team, tracking progress and assessing the results of each initiative, ensuring that the leadership remains fully informed.

You will organize, direct, and oversee a variety of functions on behalf of the leadership, including the creation of documents and presentations for both internal and external stakeholders, coordinating speaking engagements, and collaborating with event organizers to determine presentation content.

Additionally, you will prepare presentation materials and serve as the primary point of contact for the leadership, acting as a 'hub' and 'advisory' resource for the department.

Responsibilities for this position include:

collaborating with the leadership to ensure the effective and efficient execution of organizational policies and the attainment of departmental goals, including financial targets managing electronic calendars for the leadership to optimize time utilization organizing and facilitating meetings and visits, including conference calls, interviews, and seminars screening phone calls and monitoring email accounts for the leadership, addressing matters as appropriate, particularly in their absence coordinating and managing all logistical needs and travel arrangements, including international travel, accommodation bookings, business cards, and venue reservations maintaining an effective tracking system to ensure deadlines are adhered to attending management meetings, documenting discussions, and following up on action items gathering information and drafting reports for board and management meetings to ensure timely submissions by the leadership handling sensitive personnel information, ensuring confidentiality at all times conducting primary research for the leadership, sourcing information from various channels and presenting findings in an appropriate format preparing correspondence, documents, reports, and presentations (including personal correspondence when necessary) managing systems on behalf of the leadership to address leave, expense claims, and sick leave for them and their management team, including compiling their monthly travel and expense reports overseeing the electronic and physical filing systems for the leadership.

Required Qualifications

The qualifications, skills, and experience necessary for this role include:

a minimum of three to five years of experience in a senior administrative capacity strong communication skills across all levels within a large organization advanced proficiency in Microsoft Office applications exceptional organizational abilities with a keen sense of recall and anticipation to meet tight deadlines effective relationship-building skills at all organizational levels, with the ability to influence and challenge when necessary the capacity to remain calm and efficient under a demanding workload in a fast-paced environment the ability to prioritize and manage high volumes of work – with attention to detail – to produce high-quality and accurate outputs a meticulous eye for detail and accuracy while maintaining focus on key issues the ability to balance the demands of the leadership with other responsibilities to ensure a high level of support is sustained a dedicated, reliable, and trustworthy demeanor, with a professional and flexible approach the ability to maintain confidentiality at all times strong interpersonal skills and the ability to communicate effectively at all levels sound judgment and decision-making skills, utilizing your initiative.
