Job Summary

We are seeking a highly organized and detail-oriented Medical Receptionist to join our team at Glenroyd Medical Practice. As a Medical Receptionist, you will be the first point of contact for patients and visitors, providing a warm and welcoming experience.

Key Responsibilities
  • Administration:
    • Ensure a thorough knowledge of all practice procedures and protocols.
    • Process patient notes, updates, and requests in a timely and efficient manner.
    • Manage stationery and supplies, ensuring adequate stock levels.
    • Utilize Microsoft Outlook to send and receive emails, and maintain accurate records.
    • Display practice leaflets and materials in designated areas.
    • Attach and scan documents onto the EMIS clinical system via Docman.
    • Process Docman workflow and action tasks in a timely manner.
  • Reception:
    • Provide an effective and efficient reception service to patients and visitors.
    • Handle general enquiries, explain procedures, and provide information on practice arrangements.
    • Ensure accurate completion of procedures and forms for new patients and temporary cover.
    • Process repeat prescriptions, advise on charges, and issue receipts.
    • Action requests for fit notes and monitor patient flow into the waiting room.
  • Appointments:
    • Ensure familiarity with all appointment systems, including regular and incidental variations.
    • Book appointments and recalls, ensuring accurate recording of patient information.
    • Monitor appointment system effectiveness and report any issues to the Management Team.
    • Handle home visits requests and provide summary printouts for clinicians.
  • Computer:
    • Register new patients, update medical records, and process changes of address.
    • Process repeat prescription requests in accordance with practice guidelines.
  • Telephone:
    • Log onto the telephone system promptly and receive/make calls as required.
    • Divert calls, take messages, and ensure accurate delivery.
    • Cover for colleagues when necessary.
  • Other Tasks:
    • Ensure rooms are ready for use before and after surgeries.
    • Maintain adequate stationery in consulting rooms.
    • Keep noticeboards tidy in consulting rooms.
    • Ensure building security and familiarity with doors, windows, and alarm systems.
    • Tidy the waiting area with colleagues.
    • Ensure the children's toy area is clean and sanitized.
    • Make and serve refreshments, maintaining a clean and tidy kitchen.
