Overview of the Role

We are excited to announce an opportunity for a temporary position of 6 months (with potential for extension) to join our dedicated team of Patient Care Coordinators at Arnold Medical Centre.

Key Responsibilities

The Patient Care Coordinator will work variable hours each week. Flexibility is essential, as the role may require covering for colleagues during their absences. The primary responsibilities include:

  • Welcoming and assisting patients both in person and over the phone, requiring exceptional communication and customer service abilities.
  • Utilizing medical software; familiarity with Emis Web is preferred, while proficiency in Microsoft Office is necessary.
  • Performing administrative tasks, including filing and maintaining records.
  • Ensuring the security of the premises upon closing.
  • Collaborating effectively within a team and demonstrating the ability to work independently.
  • Remaining composed and efficient under pressure in a fast-paced environment.

Job Duties

Administrative Tasks

  • Maintain a comprehensive understanding of all practice protocols.
  • Adhere to established procedures and guidelines.
  • Assist with correspondence and documentation as needed.
  • Support clinicians with administrative tasks related to patient care.
  • Manage incoming and outgoing mail efficiently.
  • Ensure accurate filing of patient records.
  • Document all patient interactions meticulously.

Reception Duties

  • Greet patients visiting the practice and facilitate their consultations.
  • Distribute completed prescriptions and documents to patients, verifying their details.
  • Keep patient information materials readily available.
  • Collect samples from patients for the nursing team.
  • Maintain a tidy and organized reception area.
  • Be prepared to cover various reception roles as needed.

Appointment Management

  • Handle appointment requests for immediate and future consultations via phone and in person.
  • Address requests for home visits appropriately.
  • Understand the different types of appointments and the roles of various healthcare providers.
  • Manage electronic consultation forms.
  • Guide patients to the appropriate services.

Computer Responsibilities

  • Update patient records with changes of address and other relevant information.
  • Process prescription requests in line with practice policies.
  • Monitor and respond to practice email communications.
  • Scan and upload documents to the electronic system.

Telephone Management

  • Operate the telephone system effectively.
  • Handle incoming and outgoing calls with patients and external services.

Additional Responsibilities

  • Ensure the security of the building, including knowledge of alarm systems.
  • Assist with team refreshments as needed.
  • Participate in vaccination programs as required.
  • Undertake any other tasks assigned by management.
  • Complete mandatory training sessions.

The role involves handling sensitive patient information, which must be treated with the utmost confidentiality in accordance with practice policies.
