About the Role:

Essex County Council is pleased to announce an opportunity for an Administrative Support Coordinator to join our Operations division.

This role involves providing essential administrative assistance across various teams, including Parks and Open Spaces, Waste Management, Commercial Services, and Street Scene Enforcement. You will serve as a primary contact for inquiries, offering guidance and support on a variety of issues.

Your responsibilities will include organizing and documenting meetings, maintaining and updating databases, preparing necessary documentation and reports, as well as managing the invoicing process.

This is a permanent, full-time position with flexible working options available, allowing for a blend of remote and office-based work.

Key Responsibilities:

  • Serve as the first point of contact for all customer communications related to Operations.
  • Respond to inquiries in a timely, efficient, and professional manner, ensuring messages are directed to the appropriate personnel.
  • Perform general administrative tasks, including telephone and email correspondence, minute-taking, typing, and filing.
  • Provide comprehensive administrative support to all teams within Operations, delivering information and advice as needed.
  • Coordinate meetings, prepare agendas, and document minutes and action points as directed.
  • Develop and manage various departmental information systems, ensuring accurate and accessible records.
  • Prepare relevant documentation and reports, maintaining precision and meeting deadlines using designated software systems.
  • Process orders and manage invoicing through eProcurement systems.
  • Take a proactive role in executing specific tasks as assigned by the Business Support Supervisor.
  • Assist in compiling information for statutory returns as required.
  • Support colleagues within the Strategic and Business Development Team during their absence.
