Job Overview

The role encompasses a variety of reception responsibilities. The successful candidate will not only serve as an effective and organized receptionist but will also actively engage with individuals, including vulnerable populations and those with chronic conditions, to facilitate the coordination and navigation of care and support across healthcare services.

Key Responsibilities

The tasks and duties expected of members of the administrative team may include, but are not limited to, the following:

Reception Responsibilities:

  • Opening and closing the practice premises while ensuring security protocols are followed.
  • Managing and overseeing the appointment scheduling system.
  • Handling personal and telephone inquiries for appointments, home visits, and consultations, ensuring callers are directed to the appropriate healthcare professional.
  • Processing and distributing incoming and outgoing correspondence.
  • Taking messages and relaying information accurately.
  • Organizing and retrieving documentation.
  • Managing repeat prescription requests in accordance with established guidelines.
  • Performing data entry and information processing in line with practice procedures.
  • Initiating communication with and responding to requests from patients, team members, and associated healthcare entities.
  • Providing clerical support to practice and Trust staff as needed, including word processing, filing, photocopying, and scanning.
  • Offering refreshments for staff and visitors as required, maintaining cleanliness in the kitchen area.
  • Ensuring the reception area, notice boards, and leaflet displays are tidy and free from clutter.

Candidate Profile

Required Qualifications:

  • GCSE qualification or equivalent.
  • Strong customer service skills.
  • Excellent punctuality.
  • Ability to work diligently in a fast-paced environment.

Preferred Qualifications:

  • Certification in administration.
