An exciting position has opened for a full-time Band 4 Medical Administrative Supervisor within our Paediatric Department. The successful candidate will deliver a thorough and effective administrative service to the Consultant(s) and their healthcare team. By managing the administrative responsibilities, the Medical Administrative Supervisor will assist the Consultant(s) in maximizing their clinical duties. It is crucial for the individual in this role to demonstrate initiative and sound judgment, utilizing their expertise while maintaining confidentiality at all times. The post holder will serve as a compassionate and understanding point of contact for patients, their families, and caregivers. Additionally, they will oversee the daily training and guidance of other medical administrative staff.

Key Responsibilities

The role will involve:

  • Transcribing audio recordings of clinical letters, discharge summaries, medical reports, and other correspondence requiring proficient typing skills and a comprehensive understanding of complex medical terminology and medications.
  • Coordinating, rescheduling, and canceling appointments and clinics.
  • Monitoring waiting lists and clinic availability.
  • Maintaining accurate records and data entry; extracting data for auditing and reporting; processing referrals; managing postal and telephone inquiries from patients; and performing various other administrative tasks.

Candidate Profile

Qualifications

Essential

  • Good General Education (e.g., GCSE English and Maths A-C) or equivalent.
  • Business Administration NVQ Level 3 or relevant experience in an administrative setting.
  • AMSPAR Certificate or equivalent knowledge of medical terminology.
  • Familiarity with medical terminology.

Experience

Essential

  • Proven experience as a Medical Administrator.
  • Experience in public-facing roles or customer service.
  • Proficiency in using various Microsoft Office applications (Word, Excel, Outlook).
  • Experience with IT systems.
  • Background in healthcare settings.
  • Strong organizational skills.
  • Able to work independently and manage unpredictable situations.
  • Capable of working under pressure and multitasking.
  • Able to meet deadlines effectively.
